Lucca integration lets you synchronize your collaborators, absences and remote days between your Semana workspace and your HRIS.
1. Setting up the integration.
A. Create the API key.
- Go to your Lucca account settings at the top right of the page, and click on "API Keys".
- Click on "Generate new API key".
- Give your API key a name, and check that the "View absences", "Make absence requests" and "View/create/modify users" checkboxes are active.
- Then press the "Generate new API key" button at the bottom right of the page.
B. Manage the rights associated with your API key.
Once the API key has been generated, you'll find it on your main page. To check that the rights are those required for Semana integration, click on the "Roles administration" button on your new API key.
- Under Lucca, check that 1 operation has been selected:
- Access to import module
- Under Collaborators, check that 2 operations have been selected:
- View Lucca employee data.
- View future collaborators.
- Under Timmi Absences, check that 5 operations have been selected:
- Submit and cancel requests.
- Consult absences.
- View absence details.
- Delete an absence.
- Set parameters.
Once these rights have been updated, click on Save at the bottom of the page.
C. Activating the Lucca integration.
Once the API key has been generated with the right rights, you can go to your Semana account and install the Lucca integration.
In the Admin > Integration tab, click on the Connect button for the Lucca brick. Once on the Lucca integration window, you'll need to enter :
- API key
- Base URL (This is your own URL (https://xxx.ilucca.net)
2.Synchronization with Semana.
A. How integration works.
You also need to check the boxes corresponding to the type of integration you want.We currently offer three types of integration:
- User synchronization.
- Vacation synchronization
- Telework synchronization.
Once you have selected the desired options, click on Save and Semana will activate the integration with Lucca.
The reservation synchronization period runs from 6 weeks in the past to 6 weeks in the future.
Synchronization takes place once a day overnight. The statuses retrieved are for the full day and half-day.
B. Collaborator synchronization.
Collaborator synchronization allows you to synchronize your Lucca users with Semana. If enabled, users added to Lucca will be automatically transferred to Semana the day after they are added to Lucca. For collaborators already existing in Semana, the accounts will be recognized and synchronized, provided the e-mail is identical, and no duplicates will be generated. It is not possible to synchronize an administrator account.
When collaborator synchronization is activated, collaborators are added one week before the start of their contract (contract start in Lucca). For this to work, it must be added to the API key.
An additional Lucca integration option is manager synchronization. If this option is activated, Semana will retrieve the hierarchy present in Lucca and synchronize it in Semana.
C. Absence synchronization.
Absences are synchronized from Lucca to Semana. This means that when collaborators enter a day of leave in Lucca, it will be transferred to Semana.
All leave entered in Lucca will appear in Semana as Absence, the reason being to enable collaborators to keep the reason for their absence confidential.
D. Teleworking synchronization.
Teleworking days are synchronized from Semana to Lucca. Therefore, an collaborator entering a teleworking day in Semana will see this information transferred to Lucca.
We advise you to activate this feature **only** after the account has been launched. This may result in the deletion of data concerning teleworking days entered directly in Lucca.
