By default, an office or a zone can be reserved by all the collaborators present in Semana.However, it is possible to apply rules to restrict access to these spaces : these are assignment rules.
There are 4 assignment rules:
To set up an assignment rule, you just have to select one or more spaces and click on Add a rule.
Once on the assignment window, you will be able to navigate between the different rules.
Simple rules
Here you have the possibility to assign one or more collaborators, or one or more communities, to a desk. This assignment is then active as soon as it is set up and for an indefinite period.
Moreover, these assignments can be parameterized. First of all, it is possible to make the assignment definite in time.
To do so, you just have to activate the option Period, and enter a start date and an end date. The assignment will then only be active for this time period.
You also have the possibility to allow so-called last minute bookings. By activating this option, you will be able to make available to all your employees offices that have been assigned but not reserved. The notion of last minute can also be modified according to your needs, the minimum being 0, i.e. the desk becomes bookable only for the current day.
Recurring rules
The recurring rules work in a similar way to the simple rules, except that they can be different depending on the day of the week. Thus, a space can be assigned to community A on Monday and community B on Tuesday.
Moreover, the change of assignment is done automatically at each change of day.
As with the simple rules, you can set up time periods and last-minute reservations.
Lock a space
It is possible to lock a space, i.e. make a desk or a zone unavailable for reservation.
Here again, the unavailability of a zone can be limited in time.
For example, if part of your premises are unavailable during construction, you can simply block the reservation of these offices during the construction period.
Last minute reservation is also available for blocked spaces, allowing for example the possibility to set up overflow areas.
Unassign a space
Finally, you have the possibility to set up a release rule that will remove the different rules set up on a desk.
You also have the possibility to set a period of release for these spaces. Thus, if the time period is active, the desks will be without rules for a given period, then recover their assignments once the period is over.
Once you have entered your rules, you just have to select Validate for them to be applied.
Once the assignment rules are active, you can edit them (via the Edit button) or delete them (by clicking on the trash can icon).
